Privacy Policy

In the course of day-to-day operations, The Sarjeant Co Ltd collects, uses and discloses personal information.  This information is essential in order to provide you with the best possible products and service.  Maintaining the accuracy, confidentiality and security of this information is, and always has been, extremely important to us.  You can count on The Sarjeant Co Ltd adhering to the following ten principles with regard to personal information in its care.  These principles are modeled from current privacy legislation (PIPEDA). 

 1 – Accountability

The Sarjeant Co Ltd (the company) takes full responsibility for the personal information under its control and has designated an individual to ensure that the company is compliant with this and the other principles.

             2 – Identifying Purposes

                 

The reasons for collecting personal information will be identified before or at the time of collection. 

             3 – Consent

Before or at the time of collection, the company will obtain consent to collect, use and  disclose personal information, unless there is an exemption under the law.

             4 – Limiting Collection

The company will only collect personal information that is necessary to meet the agreed upon purposes.

             5 – Limiting use, disclosure and retention

The company will only use or disclose personal information for the purposes for which  it was collected, unless permitted or required by law.  Personal information will be properly disposed of once it is no longer required. 

            6 – Accuracy

We will endeavor to keep all personal information as accurate, complete and up-to-date as required.

7 – Safeguards

Sensitivity appropriate security safeguards will be used to protect personal information from loss or theft.

             8 – Openness

      At an individual’s request the company will disclose our policies and procedures
     
concerning the management of personal information under our control. 

            9 – Individual Access

Individuals with authority and providing proof of person will be allowed access to their personal information.  These individuals also have the right to request that any inaccurate information be corrected in a timely manner.

             10 – Enquiries or complaints  

All questions or concerns regarding our privacy policy should be addressed to the Privacy Officer.

The personal information we collect is essential to building and maintaining a relationship between the company and individuals.  This information is typically provided by the individual (or an authorized agent), but we may require information from a third party (e.g. credit reporting agency).  We ask for information like name, address, phone number, employer and bank.  We will also ask for your social insurance number (SIN).  As in the past, it will be your choice to provide us with your SIN. 

The information, once collected, may be used by The Sarjeant Co Ltd for the following:

*       To assess an individual’s credit worthiness
*        For delivery of products and service
*        For billing and accounting

*        For ongoing customer communication and service
*        To continually assess customer’s needs and offer 
        appropriate products and service
*        For audit purposes (internal and external)
*        To meet legal or regulatory requirements
*        To share with third parties (e.g. credit reporting agencies)

We may need to use personal information for a reason not mentioned above.  In this circumstance we will be sure to obtain the appropriate consent.  

The company relies on you to assist us in keeping your personal information as accurate as possible. Once we are informed of a change, we will make timely adjustments to our records.  The personal information in our care is protected by several means.  Appropriate policies and procedures are in place, physical security is employed (locks and segregation) and electronic security is used (computer passwords).  Once the personal information we have is no longer needed it is appropriately destroyed (e.g. shredded).

As mentioned above, the personal information we collect may be shared with the divisions and subsidiaries of The Sarjeant Co Ltd.  It may also be shared with authorized third parties to meet contractual obligations.  Lastly we may share this information in order to meet legal or regulatory requirements.  We do not sell customer lists or personal information.

When the company gains your consent, you are authorizing us to collect, use, disclose to third parties and retain as long as needed, personal information that is appropriate to the purpose described.  Consent can be express or implied.  Express consent can be given verbally (in person or by telephone) or in writing (signed document or e-mail).  When you contact and provide us with personal information, consent is implied that you allow us to use it for a reasonable purpose.  Consent may be withdrawn (unless prevented by law) at any time in writing.  This may, however, limit or prevent us from providing products and service.
